The Camp Cammisa Steinriede Joslin (CCSJ) Team at Elfant Wissahickon Realtors seeks a part time administrator with excellent communication and organization skills.
Overview
The Administrative Coordinator will use meticulous organization, clear communication, and caring customer service to manage complete client experiences in home buying and selling. They will use and manage systems for transaction management, database management, and drafting of documents to bring calm and clarity to clients and teammates alike. In addition, this role will provide administrative support to the full real estate team. This comes in the form of managing a Google Workspace, internal Intranet, and Google Group.
While experience in real estate is a plus, successful candidates for this position will have experience in communicating processes to newcomers, write great emails, and be able to systematize and organize multiple streams of work. They will be able to collaborate with agents and clients, while also taking responsibility for the arc of a transaction. They will be at least curious about the world of real estate, if not already familiar, and willing to learn quickly. They will be familiar with Google Suite and have the ability to quickly synthesize new systems and use them efficiently.
Pay and hours:
$25/hour
25 hours per week
As a W2 Employee of Elfant Wissahickon Realtors
Remote work is fine, EST timezone is preferred but not required. Office space is available if needed.
Hours are flexible, but time sensitive assignments will come up frequently. The work hours will need to spread over 5-6 days per week. Preference for a schedule that involves some hours in the morning, and some in the afternoon.
We are asking for a minimum 24 month commitment, with a schedule of performance reviews to be determined. If mutually agreed, we may be able to support the person in this position in getting their PA real estate license.
A computer, phone, and internet connection are required for this position.

Detailed Job Activities List
Transaction Coordination (Contract to Closing)
Draft offers and generate documents on behalf of agents/clients.
Oversee buyer & seller transactions from executed agreement to closing.
Send reminders of dates and deadlines to buyers and coop agents.
Coordinate title/escrow, mortgage, appraisal, inspections and completion of repairs.
Regularly update & maintain communication with clients, agents, title officer, lender etc.
Submit all necessary documentation to office conveyancer for file compliance.
Input client information into client database systems (constant contact, Excel, google).
Prepare offers for purchase based on information from agent.
Listing Coordination (Listing to Contract)
Organize listing materials: pre-listing presentation, Listing Agreement, sellers’ disclosures, comparative market analysis
Coordinate with sellers on photos, staging, repairs, cleaning, signage, lockbox, access
requirements & marketing activities.
Input listing information into MLS and marketing websites and update as needed.
Coordinate showings & feedback. Send weekly feedback emails to sellers regarding showings and marketing activities.
Submit all necessary documentation to conveyancer.
Communicate steps to seller from contract to close.
Data Management and Organization
Maintain the company Intranet as an up-to-date resource.
Manage the company’s google drives and calendars.
Participate in data tracking across agents to develop best practices.
Assist agents in data management and uploads.
Help the team grow its practices as the team grows.
